Privacy Policy
Last updated: October 2026
TheNailWiki ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, how we use it, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Who we are
TheNailWiki is a professional nail knowledge platform, part of Artistic Touch Nail Training Academy. For any privacy question, contact us through our contact page.
The data we collect
- Contact enquiries — your name, email address and message when you use the contact form.
- Newsletter — your email address when you subscribe.
- Professional profiles — the information you submit to appear in our directory (name or business name, location, photo, biography, services, and any contact links or recognition you choose to add).
- News submissions — details you provide when submitting an industry news item or enquiry.
- Expert contributions — when you use our Submit Your Nail Knowledge form: your name, location and email address; your professional role, expertise and experience; any social media, LinkedIn or website links you give; the title and description of your contribution; any evidence of qualifications or experience we ask for; and the photographs you upload, which may show identifiable people such as clients (you must have their consent).
- Account data — your email address and sign-in details when you create an account.
- Technical data — standard information such as browser type, device and pages visited, collected through analytics tools, used to keep the site secure and improve it.
How we use your data
- To respond to enquiries you send us.
- To send you the emails you have subscribed to (you can unsubscribe at any time).
- To review, publish and display professional and salon profiles in the directory.
- To assess expert contributions, contact you about them, check your expertise where needed, edit and publish accepted material, and credit you as the author (normally with your name, credentials, a short biography and, where appropriate, a link to your professional website).
- To operate, secure and improve the website.
Legal basis
We rely on your consent (for the newsletter, for publishing your profile and for the optional photographs you upload), on the performance of a contract (to provide services you request), and on our legitimate interests (to run and secure the site).
Sharing and processors
We do not sell your data. We use trusted service providers to run the site — for example hosting and form handling — who process data on our behalf under appropriate agreements. Published profile information is, by its nature, shown publicly in the directory. Where we publish an accepted contribution, the author details you agree to be credited with (such as your name, credentials, biography and website link) and any photographs we publish become public. Other submission details, such as your email address, location and any evidence you supply, are not published. Form submissions and uploaded files are received and stored by our hosting and form provider (Netlify), and notification emails are sent through our email provider.
Data retention
We keep your data only as long as necessary for the purpose it was collected, or as required by law. You can ask us to remove your profile or unsubscribe at any time. Contribution submissions that are not accepted, and the files uploaded with them, are deleted within a reasonable period after we decide, unless you ask us to keep them for a future opportunity. Accepted contributions remain published until you ask us to remove them or we withdraw them, and we keep the related contact details while we need them to manage the contribution.
Your rights
You have the right to access, correct, or delete your personal data, to restrict or object to processing, and to withdraw consent. To exercise any of these, contact us via our contact page. You also have the right to complain to the Information Commissioner's Office (ICO).
Cookies
We use a small amount of storage that is necessary for the site to work, for example keeping you signed in or remembering that you dismissed a prompt. We also use analytics tools, Google Analytics and Microsoft Clarity, to understand how the site is used and to improve it. These may set cookies or collect information such as pages visited, device and browser type, and how you interact with pages. We do not use advertising trackers or sell this data. You can control or delete cookies in your browser settings.
Changes to this policy
We may update this policy from time to time. The "last updated" date above shows when it last changed.
